Privacy Policy
Last Edited on: 2026-10-26
This privacy policy has been compiled to better serve those who are concerned with how their Personally Identifiable Information (PII) is being used online. PII, as described in U.S. privacy law and information security standards, is information that can be used on its own or with other information to identify, contact, or locate a single person, or to identify an individual in context.
Please read this Privacy Policy carefully to understand how we collect, use, protect, or otherwise handle your Personally Identifiable Information in connection with our website, applications, and services.

How Do We Protect Your Information?
Our website is hosted on a secure, managed hosting platform and uses a secure internal database to store and manage information.
We employ industry-standard security measures including regular monitoring, intrusion detection, and security testing to protect against unauthorized access, with issues analyzed and remediated as appropriate.
Our internal database is protected by access controls and security safeguards designed to prevent unauthorized access, disclosure, alteration, or destruction of data. Access to personal information is limited to authorized personnel who require it to perform their job functions and who are required to keep the information confidential.
Sensitive and payment-related information is encrypted using Secure Socket Layer (SSL) technology.
We store account passwords only as salted hashes, not as readable text.
All payment transactions are processed through a third-party payment gateway and are not stored or processed on our servers.
Cookies
Yes, we use cookies.
Cookies are small files that a site or its service provider transfers to your computer’s hard drive through your web browser (if allowed). Cookies help systems recognize your browser and capture certain information.
We use cookies to:
- Understand and save user preferences for future visits
- Compile aggregate data about site traffic and site interactions
- Improve site functionality and user experience
You may choose to have your computer warn you each time a cookie is being sent or turn off cookies entirely through your browser settings. Disabling cookies may affect certain site features.
Third-Party Disclosure
We do not sell or trade your Personally Identifiable Information. We share it only with companies that help us run our services, such as payment, email, image hosting, and gift-card delivery services.
SMS Communications & Phone Number Privacy
We may collect phone numbers through web forms, account registration, or other interactions on our site.
Creating an account does not sign you up for texts. We send text messages (SMS) to people who agreed to them in one of these ways:
- A sponsor told our team on a call that we may text them.
- A sponsor turned texting on in My Profile on the My Events page.
- Someone chose Yes to “May we text you to set up a call?” on one of our web forms. The answer starts as No.
- Someone ticked a box on one of our forms that agrees to calls, emails, and texts. The box says so.
We use texts for your fundraiser, your account, and customer support. We send promotional texts only to people who agreed to receive them. Message and data rates may apply. Message frequency varies.
When our team and a sponsor text each other, we keep a copy of the texts. We save them with that fundraiser so our team can see what was said when they help you.
You may opt out of SMS communications at any time by replying STOP to any message. For assistance, reply HELP or contact us at [email protected].
We do not sell, rent, trade, or share consumer personal information, including phone numbers, with third parties or affiliates for marketing or lead generation purposes.
We do not use purchased, rented, or third-party marketing lists for SMS communications. Phone numbers come from the people themselves, or from a participant who adds supporters they know.
Photos
Anyone who opens a group’s fundraiser dashboard can upload photos for it. We ask for the uploader’s name and email. We also record the IP address the upload came from. Sponsors can also upload group photos, banner pictures, and videos from the Fundraiser media panel on the My Events page. We review those too.
Photos may show people, including children. The upload form asks the uploader to confirm that everyone pictured agreed, or that a parent or guardian agreed for anyone under 13. By uploading, the uploader also gives Platinum Fundraising a license to use the photo on dashboards, websites, social media, print materials, and advertising. The upload form shows the full terms.
Our team reviews each photo before it appears on our pages. Approved photos can appear on that group’s dashboard, on its store pages, and in fundraiser update emails. The dashboard does not require a login. We store photos with our image hosting service.
To ask us to take a photo off our pages, email us at [email protected] and include the dashboard link. Parents and guardians can ask us to take down any photo of their child. The file may stay at our image hosting service.
Seller Pictures
A parent or guardian can add one picture of their child. They add it from their own account, on the My Events page. Children are not asked to send us pictures. The picture shows as a small circle next to the child’s name on their store page and family page. Anyone with those links can see it or save a copy. The picture also goes on that child’s printed flyer for the fundraiser, which the group leader or the parent prints.
Each fundraiser has a main sponsor, who is the group leader. Most of the time, the group leader looks at each picture first. It shows only if they say yes. The group leader can also turn on a computer check. Then a picture that passes the computer check goes on the store right away. No one looks at it first. The group leader gets a daily email about these pictures and can delete any of them.
We keep the picture with Cloudinary, our image host. They work for us. They may not use the pictures for their own purposes. We do not use face recognition on seller pictures. Pictures added before October 17, 2026 had a face check. Cloudinary keeps a note of where the face is until that picture is deleted.
A computer checks each picture for safety. We use two computer services for this, Anthropic and Google. They look for things that do not belong on a store page. They also check that the picture shows one person and has no words or numbers in it. The check does its best, but it can miss things. When the check finds a problem, we either turn the picture away or hold it for the group leader to look at. If the check can not run, the picture waits for the group leader too. It does not tell us who anyone is. We keep each service’s yes or no answer, a short reason word when it says no, and two yes or no notes: whether the picture shows one person, and whether it has words in it. We never keep a description of the picture. These computer services work for us. They may not use the pictures for their own purposes.
We tell Cloudinary not to keep a backup copy, so when we delete a picture, it is gone. We remove the picture’s hidden photo data, like the place it was taken, before we send it to our image host.
We also keep who added it, when, and the internet address used. The picture comes off the store when the fundraiser ends. We delete the picture, and the internet addresses, 30 days after that. We delete the record of the yes one year after the fundraiser ends. Our backups can keep a copy of these records for a while. They never hold the picture.
We never use these pictures in ads, share graphics or other printed materials, and we never sell them. A parent can take a picture off at any time in My Dependents. Anyone can use the Report link on the store page, and we take the picture off right away. A school or district can ask us to take all pictures off for its fundraiser at [email protected].
Seller Video Messages
A parent or guardian can add one short video of their child. It can be up to 1 minute long. They add it from their own account, on the My Events page. Children are not asked to send us videos. The video has the child’s face and voice. The main sponsor sees the video first. It shows only if the sponsor says yes. Then it shows on that child’s store page, under the words “A message from” and the child’s first name. Anyone with the store link can watch it. People can record a copy.
We keep the video with Cloudflare, our video host. They work for us. A video plays only through a link that stops working after a short time. We do not make captions of it. We also keep who added it, when, and the internet address used. The video comes off the store when the fundraiser ends. We delete the video, and the internet addresses, 30 days after that. A parent can take the video off at any time in My Dependents. Anyone can use the Report link on the store page, and we take the video off right away.
Supporter notes
When someone buys cards, they can send the seller a short note. We save the note, the name on the order, and the time. We do not save the sender's IP address with the note.
The note goes to the seller's parent or guardian first. Only they can choose to show it on the seller's store page. The store shows the words only, never the sender's name. Anyone with the store link can see a note that is shown, and they can copy it. A parent can hide or delete a note at any time. Notes are off until the group turns them on and a parent turns them on for their child.
A filter checks each note. A note with a phone number, email, web link, or user name is not sent. Notes that ask to meet or to keep a secret go to our team to read. Held notes never go to the family. We can not catch every bad note.
When a parent turns on notes, we save the time, their account, and their IP address.
Every note on a store page has a "Report this note" link. A report takes the note down, and our team reads it.
We delete the words of each note 30 days after the fundraiser ends. We remove the parent's IP address then too. Notes our filter held, or that were reported, are kept for one year for safety. Then we delete them.
Gift-Card Prizes
A sponsor, parent, or our staff may give us an email address for a participant’s gift-card prize. If no one does, we use the account email.
We use this address only to send the prize link and claim reminders. We send these emails through our email service provider. We do not sell the address or share it for marketing.
Maps and Your Location
Some of our maps (the store map, the active fundraisers map, and the reviews map) open on the area around you.
If you allow it, the map uses your browser's location to show what is near you. We do not save that location.
When one of these maps opens, it asks three sources for your general area based on your internet (IP) address: Cloudflare, our network provider, and two location services, ipapi.co and ipinfo.io. Your browser contacts ipapi.co and ipinfo.io directly, so they receive your IP address. This happens as the map opens, whether or not you then allow your browser's location, so we can compare how accurate each source is. The map uses the guess only if you do not allow your browser's location, and only when at least two sources agree within 100 miles, or when Cloudflare is the only one that answers.
For each map view we keep a short record: the time, which map, which sources answered, and how far apart the guesses were in ranges such as "under 10 miles" (and, if you shared your location, how far off each guess was). We never keep your location, your IP address, or the city we guessed.
If your browser sends a Do Not Track or Global Privacy Control signal, the map does none of these lookups and shows the whole U.S.
Third-Party Links
We do not include or offer third-party products or services on our website.
Google Advertising
Google’s advertising requirements can be summarized by Google’s Advertising Principles. We have not enabled Google AdSense on this site, but we may do so in the future.
California Online Privacy Protection Act (CalOPPA)
CalOPPA requires commercial websites and online services collecting Personally Identifiable Information from California consumers to post a conspicuous privacy policy.
In accordance with CalOPPA:
- Users may visit our site anonymously
- A link to this Privacy Policy is available on our website
- Users will be notified of Privacy Policy changes on this page
Users may change their personal information by contacting us via email or phone.
Do Not Track Signals
We honor Do Not Track (DNT) browser signals. When a DNT mechanism is enabled, we do not track users or use advertising mechanisms that conflict with those signals.
Third-Party Behavioral Tracking
We do not allow third-party behavioral tracking.
Children’s Information (COPPA)
Protecting the privacy of children is especially important.
Our website is for adults and for teens 13 and older. Children under 13 should never use it, and they cannot make an account. A parent or guardian makes the account and adds each child by name.
- When someone makes an account, we ask for their birth month and year to check their age. We do not save the answer.
- If the answer shows they are under 13, we stop sign-up on that device for one hour. We save a small cookie to do this.
- We then offer to email a parent a link to sign up. We use that email only to send the link, and we do not keep it.
- We do not condition participation in our services on a child providing personal information.
Participant names. Fundraiser participants are often children. The adult, or the student 13 or older, who sets up the account enters each participant’s first and last name and the group or team they belong to. We do not ask children under 13 to enter their own information. You can use a nickname or initials instead of a full name.
We use participant names to run the fundraiser. We credit sales to each name and show sales on the group’s fundraiser dashboard. This page is public: anyone with the link can see it. Names can also appear on our national contest leaderboard, unless the “Opt out of the National Individual Sellers Contest” switch is on. You can turn it on when you register or on the My Events page. We also give each participant a personal store page and award prizes. Supporters see the name when they check out.
If we learn that a child under 13 has given us personal information directly, for example by misstating their age, we will promptly delete that information and terminate the associated account.
Parents or guardians who want a child’s name, photo, or other information removed, or who believe their child may have provided personal information, may contact us at [email protected], and we will take appropriate action.
Seller pictures. A parent or guardian may also give us one picture of their child, from their own account. We use it only on that child’s store page, family page and printed flyer for that fundraiser. A computer checks each picture for safety first. We say more in Seller Pictures above.
We do not engage in targeted advertising or behavioral tracking directed at children.
Fair Information Practices
In the event of a data breach, we will notify affected users via email within 7 business days.
We adhere to the Individual Redress Principle, which provides individuals the right to pursue enforceable rights against data collectors and processors who fail to comply with the law.
CAN-SPAM Act
We collect email addresses to:
- Send information and respond to inquiries
- Process orders and send updates
- Communicate with customers and subscribers
In accordance with CAN-SPAM, we agree to:
- Not use false or misleading subject lines or email addresses
- Identify messages as advertisements when applicable
- Include our physical mailing address
- Honor opt-out and unsubscribe requests promptly
Users may unsubscribe from future emails by following the instructions at the bottom of each email or by contacting us directly.
Account holders can turn two kinds of fundraiser email on or off. One is sales and promotional emails, which tell you who bought a card. The other is daily fundraiser updates. The switches are in My Profile on the My Events page and on the registration form. When you register, you can also choose how often sales emails arrive, from every 2 hours to every 24 hours. Order receipts and account emails, such as sign-in links and email-change confirmations, are not affected by these switches. We send them because you placed an order or have an account.
